Job Description – Facilities Manager
Department: Administration / Facilities
Reporting to: Head of Operations / COO
Location: UAE
Direct Reports: Facilities Supervisors, Technicians, Maintenance Staff, Security, and outsourced service providers
Role Purpose
The Facilities Manager will oversee the management, maintenance, safety, and efficient operation of all company facilities, including multiple cold storage warehouses, trading offices, staff accommodations, and company-owned real estate assets. The role ensures facilities are fully operational, cost-efficient, compliant with UAE regulations, and supportive of the company’s fresh produce business operations.
Key Responsibilities
- Facilities & Warehouse Management
- Ensure all warehouses (cold storage and dry storage) are maintained to food safety standards (HACCP, ISO, Municipality guidelines).
- Oversee maintenance and servicing of refrigeration systems, HVAC, power supply, and backup generators.
- Monitor daily facilities operations and coordinate with warehouse managers to minimize downtime.
- Implement preventive and corrective maintenance schedules across facilities.
- Manage pest control, sanitation, and hygiene in alignment with food safety requirements.
- Supervise security systems (CCTV, access control, fire alarms, firefighting equipment).
- Office Facilities and Staff Accommodation Management
- Manage maintenance and upkeep of corporate offices and staff accommodation, ensuring a professional, hygienic and safe working environment.
- Oversee utilities, office renovations, space planning, fit-outs, and relocations.
- Manage contracts with service providers (cleaning, security, IT infrastructure support).
- Manage company-owned and leased real estate properties, including staff accommodations, rental properties, and investment assets.
- Negotiate and manage facilities agreements, renewals, and terminations.
- Liaise with legal and PRO teams on Ejari, tenancy contracts, and property-related government documentation.
- Compliance & Safety
- Ensure all facilities comply with UAE Civil Defense, Municipality, and other regulatory requirements.
- Lead fire safety drills, emergency preparedness, and occupational health & safety initiatives.
- Maintain updated permits, licenses, and regulatory certificates for warehouses and offices.
- Oversee waste management and sustainability initiatives in line with UAE environmental laws.
- Vendor & Budget Management
- Manage service contracts with vendors (AC technicians, cleaning, pest control, building maintenance, contractors).
- Prepare annual facilities management budgets (OPEX & CAPEX) and monitor cost efficiency.
- Review and approve vendor invoices, quotations, and service quality.
- Negotiate contracts to achieve best value while ensuring service quality.
- Team Leadership
- Lead and develop facilities management teams (maintenance, technicians, cleaners, security).
- Provide training and performance evaluations for direct reports.
- Foster collaboration between warehouse, operations, HR, and finance teams.
Key Performance Indicators (KPIs)
- 100% compliance with UAE Civil Defense, Municipality, and food safety regulations.
- Zero critical downtime of refrigeration/warehouse systems.
- Preventive maintenance schedule adherence (>95%).
- Facilities OPEX savings achieved through efficient vendor and cost management.
Qualifications & Experience
- Bachelor’s degree in Facilities Management, Mechanical/Electrical Engineering, Business Administration, or related field.
- 7–10 years’ experience in facilities management, preferably in FMCG / food industry with cold storage facilities.
- Strong knowledge of UAE real estate laws, Ejari, tenancy management, and property regulations.
- Familiarity with food safety standards (HACCP, ISO 22000, Municipality inspections).
- Proven track record and experience in managing large facilities portfolios (warehouses, offices, accommodations).
- Excellent negotiation, vendor management, and contract administration skills.
- Strong leadership and problem-solving abilities.
- Proficiency in MS Office, CMMS (Computerized Maintenance Management Systems), and ERP tools.
